This summary is for convenience. The full text below controls.

1. Payment

Normal reservations are paid in full at booking, by card through our payment processor. A reservation is confirmed when the payment succeeds. For reservations arranged with our team, we may accept other approved methods (for example bank transfer or check); the reservation is confirmed when payment of the full amount is recorded, unless we agree a written exception.

No automatic gratuity or service charge is added to any reservation. Any tip is voluntary. Promotional codes, when we offer them, are applied before you pay and shown in your confirmed price.

2. Your confirmed price

The confirmed price shown before payment covers the itinerary, vehicle class and service you selected, including mandatory charges we can reasonably determine at booking such as predictable tolls. Your receipt shows the total, the amount paid and the balance.

3. Hourly packages

Hourly packages vary. Before you pay, each package shows its booked duration, vehicle class, included miles, the rate for additional time and the rate for each mile beyond the included distance, plus any service-area limits. We record those values with your reservation, so later changes to our packages never change your reservation.

  • Additional time is billed in 30-minute increments at your package's rate. A partial increment is rounded up and billed as a full increment.
  • Over the miles but within the time: only the excess-mile charge applies.
  • Over the time but within the miles: only the additional-time charge applies.
  • Over both: both charges may apply, because they are separate allowances.
  • No Hourly package includes unlimited mileage unless it says so expressly.

4. The only charges that can be added after a trip

At checkout you authorize these categories, and only when they actually arise. Each comes with the evidence shown.

CategoryWhat we provide
Waiting beyond the complimentary grace periodArrival and departure times
Hourly time beyond the booked durationService start and end times
Distance beyond an Hourly package's included milesRecorded trip distance
Itinerary changes or added stops you requestThe change requested
Tolls that could not reasonably be known at booking, at actual costToll record or receipt
Parking or venue charges that could not reasonably be known at booking, at actual costParking or venue receipt
Documented excessive cleaning caused by a passenger or guestPhotographs, notes and any cleaning invoice
Documented damage caused by a passenger or guest, at reasonable actual costPhotographs, notes and repair estimate or invoice

We do not add vague or miscellaneous fees. One event produces one charge - for example one toll is billed once.

5. How an additional charge works

  1. We record the category, amount, date, any facility (for example the toll road) and the supporting evidence against your reservation.
  2. We send you an itemized notice by e-mail with that information and how to question it.
  3. We collect it through a secure payment request or another method you approve. We do not keep your card to charge it later.
  4. The itemized notice is your record of the charge, and your account shows it under the reservation, separate from the original fare.

If you disagree with a charge, reply to the notice or write to accounting@westminsterchariots.com before paying. We review the evidence with you and correct or withdraw a charge that is not supported.

6. Cleaning

Ordinary cleaning is included. Cleaning caused by a Passenger or Guest beyond ordinary use (for example a significant spill, severe staining, vomit or other bodily fluids, smoking or vaping remediation, or exceptional contamination) may be charged. Until we publish a cleaning-fee schedule on this page, such charges are limited to the documented actual cost of the cleaning or professional remediation, supported by photographs, the chauffeur's notes and the cleaning invoice.

Physical damage is handled separately under section 7.

7. Damage

Damage caused by a Passenger or Guest may be charged at reasonable, documented actual cost. We share a description, the evidence (photographs, notes, a repair estimate or invoice) and the amount before seeking payment. We do not charge penalties or estimated lost revenue.

8. Receipts and invoices

A fully paid reservation shows Total, Paid, Balance $0.00 and PAID. A complimentary reservation shows COMPLIMENTARY. A reservation awaiting payment shows PAYMENT PENDING. Your account shows refunds and any additional charges separately from the original payment, which is never erased.
